The Challenge
COVID moved fast. Every day, the situation in one facility could change the staffing plan for three others. Fidelity Healthcare Group ran multiple facilities. Each one tracked patient data differently.
Some used spreadsheets. Some used internal systems. None of them talked to each other. Leadership needed to see everything — all facilities, all regions — in one place. They needed it updated in real time, not at the end of the week.
The wrong call could mean understaffing a facility that was about to see a surge. Or sending resources somewhere that didn't need them. The stakes were high. The data systems weren't ready.
What We Built
We built a centralized Tableau dashboard that pulled live data from every facility. It updated automatically. No one had to export anything.
Why Tableau and not a custom build?
Tableau was already familiar to the leadership team. The goal was fast deployment — weeks, not months. Building something custom would have taken longer than the crisis allowed.
How did the geographic heat maps work?
Each facility was mapped by location. As patient counts and resource levels changed, the colors on the map shifted. A red region meant pressure. A green region meant capacity. Leadership could see the whole picture at a glance.
How did we automate the data feeds?
We built connectors to each facility's existing systems. The data flowed in on a scheduled basis — every few hours at first, then in near real time. No manual exports. No copy-paste.
What did "multi-facility aggregation" actually mean?
It meant rolling up all the individual facility numbers into one view. So leadership could see total patients, total staff capacity, and total resource levels across the whole organization — not just one building at a time.
